AIRTECH JAPAN, LTD. recognizes the importance of “protection and utilization of personal information” in the global information society and complies with all related laws and other standards for all personal information handled in business. Based on this, we establish, operate, and manage self-regulations that consider international trends in personal information protection, thoroughly communicate these to all employees and other related parties, and continuously maintain and improve them.
1. Acquisition of personal information
When acquiring personal information, we determine and notify the purpose of use in advance and acquire it by lawful and appropriate methods within the scope necessary to achieve that purpose.
2. Purpose of use of personal information
The Company may request personal information from you for the purposes shown below. If we collect information for purposes other than those listed below, we will notify you of the purpose of use before collection.
I. Customer information
- Event announcements for seminars and exhibitions, provision of product information and promotional materials, product proposals and provision
- Provision of maintenance services
- Communication, cooperation, contract performance, and performance requests with business partners
II. Information during recruitment activities
- Communication and information provision related to recruitment selection
(Including provision to subcontractors when part of recruitment activities is outsourced)
III. Employee and former employee information
- Labor management
- Payment of salaries and bonuses, expense settlement
- Reports and notifications to government offices
- Various communications and public relations through paper, email, video, etc.
- Emergency contact and training notifications
- Responses to investigation requests from other companies
IV. Shareholder information
- Business reports and other announcements and information exchange with shareholders
- Response to shareholder rights exercise, etc.
- Shareholder management based on various laws
- Exercise of rights and performance of obligations based on the Companies Act
V. Other customers who contact the Company
- Communication, guidance, response, sending related materials, etc.
3. Provision of personal information to third parties
The Company does not provide retained personal information to third parties without prior consent from the individual, except in the following cases:
- When based on laws and regulations
- When necessary to protect human life, body, or property and it is difficult to obtain the individual’s consent
- When it is necessary to cooperate with national institutions, local governments, or their commissioned parties in performing legally defined duties, and obtaining the individual’s consent would hinder the performance of such duties
- When providing to subcontractors within the scope deemed necessary for implementing commissioned duties
4. Measures taken for security management
The Company takes necessary and appropriate measures for security management in handling personal information as follows:
I. Establishment of rules for handling personal information
- We have established “Personal Information Protection Regulations” that define handling methods, managers, persons in charge, and their roles for each stage of acquisition, storage, use, provision, correction, and deletion.
II. Organizational security management measures
- We appoint managers responsible for personal information security management and clarify office staff who handle personal information. We also specify reporting to managers and countermeasures when facts violating laws and regulations are identified.
- When outsourcing personal information handling, we appropriately select and supervise contractors, conclude contracts necessary for appropriate security management, and monitor personal information handling status.
III. Human security management measures
- We conduct training on precautions regarding personal information handling.
- We include matters regarding confidentiality obligations for personal information and compliance with personal information protection laws in the Company’s compliance standards.
- We have employees sign pledges regarding confidentiality obligations for personal information and other confidential information.
IV. Physical security management measures
- We manage electronic media and documents recording personal information in locked storage.
- We have established and enforce precautions for employees to prevent leakage and loss when sending personal information by email, FAX (when unavoidable), mail, or taking it outside for third-party provision.
V. Technical security management measures
- We limit the range of staff who can access each personal information through folder access control functions and passwords.
- We have introduced systems to protect information systems handling personal information from external unauthorized access.
5. Procedures for responding to requests for disclosure, etc.
The Company has established a contact point for inquiries regarding requests for notification of purpose of use, disclosure, correction, suspension of use of personal information, and complaints and consultations regarding personal information handling, and responds appropriately according to laws and regulations.
